 Process the paperwork relating to recruitment, new starters and leavers, terms and conditions of employment such as hours/salary changes, recording of absences etc.

Overgate Hospice provides expert care, support, advice and information for patients and their families, carers and loved ones living with life-limiting illnesses.

Living with a life-limiting illness can affect a person in many ways. After being referred to us we will work in partnership with the patient to provide the care and support depending on their individual needs. All of our medical and nursing care is provided by a highly qualified and skilled team who will work with the patient to ensure they receive a high standard of care.

Our team of doctors and nurses can help relieve a person’s symptoms, including pain management and fatigue, along with our Patient and Family Support Team who can help with adjusting to day-to-day life living with an illness. We also offer Bereavement Support, Career's Group and a Drop-In Service.

Roles & Responsibilities

Responsible for HR admin tasks including keeping all HR records up to date, ensuring all data is accurate and conforms to current legislation and weeding and archiving in line with document retention guidelines.
Process changes to terms and conditions, including producing letters/revised contracts of employment and monitoring receipt of signed documents, issuing maternity, paternity, shared parental leave and adoption leave letters as requested and in line with current statutory regulations, ensuring relevant information is ready for finance in good time to meet payroll deadline.
Maintain HR and other spreadsheets, including Payroll, Disclosure and Barring Service, Rewards and Recognition, Display Screen Equipment, Long Service, Hospice Annual Leave, Organograms and Recruitment, Probation and Leavers and ensure all these are up to date and accurate and that required actions are taken timeously.
Monitor the probation period for new starters, issue Fresh Eyes forms and check that appropriate action is taken by line manager at the end of the probation period.
Responsible for the new starter and leaver processes including the issuing of all documentation and take action as documented in the new starter and leavers checklist.
Co-ordinate and manage all Blue Stream mandatory training activity across the Hospice, including producing reports and monthly statistics showing completion rates for the Head of HR, SLT and line managers
Read, understand and comply with all Hospice Policies and Procedures, including maintaining strict confidentiality in all matters relating to the Hospice, its business, patients, staff and others

Skills Required

Can quickly and accurately process high volumes of data and administer all tasks on time to a high quality

 

Attention to detail, in particular in the writing and checking of documentation and the accuracy of data entry

 

Ability to self-organise and work with frequently changing priorities, often from different people, ensuring that plenty of notice is given if deadlines need to be moved

 

Good writing skills demonstrating the ability to compose clear and accurate correspondence

 

Good communication skills with the ability to discuss sensitive issues in a compassionate but clear manner.

 

Able to create trusting relationships with the managers and staff

 

Achieves results by settings own standards, checking own work and demonstrating a positive approach

Proactively meets expectations of managers and colleagues by delivering high standards of customer service

Highly organised
Self-starter requiring limited levels of supervision
Comfortable with multi-tasking
Ability to get on with people at all levels and be a team player
Diplomatic, yet assertive when required
Applies total confidentiality to all tasks
HR personnel need the respect of all Hospice employees to carry out their duties effectively. Therefore, the behaviours of HR staff are a critical professional factor, especially when HR is doing what it often does and setting behavioural standards for others. This means that all HR staff need to be people of integrity who behave with professionalism and in accordance with the Overgate Behaviours at all times, both at work and, within reason, when outside work too

GCSE or equivalent in English and Maths

Future Prospects

Subject to successful completion on the apprenticeship, hopefully they will become a permanent member of staff
